Booking Studio Spaces and Workstations

Reservations are required for:

  • Both Self-Serve Sound Studios (Central Library and Sherwood Village Branch)
  • The Green Screen Flex Studio (including 3D Scanning)
  • All digital media computer workstations

Reservations can be made online, or in-person.

Customers using the Digital Media Studio should bring their own storage devices or create personal cloud storage accounts to save their work. We can provide external storage devices for customers to check out or purchase and use if their personal storage devices have been forgotten or are at capacity. However, availability is not guaranteed.

Media computer workstations, Flex Studio (green screen and 3D scanning), and both Self-Serve Sound Studios are bookable in 3 hour blocks during Digital Media Studio hours. The total booking time must not exceed 3 hours a week and 4 sessions per month. Open slots are available on a first-come, first-served basis.

Sessions maybe extended at the discretion of staff, depending on availability.

Digital Media Studio spaces must not be left unattended while reserved and in use. If the responsible card-holder leaves without notifying library staff (even if others are present from their group), the reservation will be forfeited, and future reservations may be denied.

Once vacated for more than 15 minutes, RPL reserves the right to remove customer belongings without assuming responsibility or liability thereof and to reassign the space to an available status.

  • Customers will require a valid SILS library card to reserve studio spaces.
  • The library card used to make the reservation must match the card presented upon check-in.
  • If the customer does not have their card present when checking in, a reasonable effort will be made to validate that the customer was the one who made the reservation.
  • That member will be responsible for damage or loss of equipment, workstations, or studio space.
  • Library cards are also required to check out equipment though further restrictions also apply to equipment check out.

Customers must cancel studio space reservations at least 48 hours prior to the scheduled use. Failure to provide 48 hours' notice of a cancellation may be grounds for suspension of Digital Media Studio privileges.

Customers who have not arrived within 15 minutes of the scheduled start time of their reservation will be considered no-shows and the reservation will be removed. Customers who show up late will not have their session extended.

Digital Media Specialist Appointments

Digital Media Specialists are available to provide a brief orientation to our equipment and also give pointers to get you started on your project. Book an online meeting, a phone appointment, or visit us at Central Library or Sherwood Village Branch for a one-to-one session, where we'll point you in the right direction to get your project going.

Please note that staff are available for limited hours, so booking an appointment is the best way to get the help you need. You can also email us.

General Guidelines

Due to the creative and collaborative nature of the Digital Media Studio, there is no guarantee of a silent atmosphere. All Digital Media Studio visitors are asked to be respectful of each other and of the Library's conduct policy regarding noise. The Self-Serve Sound Studio is intended to be actively used with the door shut.

No food is allowed in the Self-Serve Sound Studios and only sealable drink containers are allowed anywhere in the Digital Media Studio.

The Safe Use and Conduct Bylaw and Internet Access Policy applies to activities in the Digital Media Studio Studio. Any violations of this policy may result in loss of Studio privileges and / or full library privileges. Treat your group, our staff, and other artists kindly.

Your personal items are your responsibility to monitor. Other people's personal items are to be respected.

Digital Media Studio created content must conform to acceptable community and legal standards.

Media computer workstations in the Digital Media Studio are designed for collaboration. RPL retains the right to limit the number of people around a single workstation to a maximum of three.

Library personnel must always have free access to Digital Media Studio production spaces. RPL retains the right to monitor all activity conducted on Library premises to ensure compliance with Library rules and regulations.

Digital Media Studio visitors are encouraged to connect personal devices to Digital Media Studio equipment but support for such equipment may not be available. RPL staff may disconnect personal devices which interfere with the operation of Library equipment of the ability of other users to complete projects. Compatibility of personal devices with Digital Media Studio hardware and software is not guaranteed.

RPL reserves the right to erase user files left on library-owned hard drives and removable storage without prior notice. Customers are strongly encouraged to backup their projects to personal storage devices or cloud-based backup solutions.

Equipment must be checked-out on your library card. In order to check out equipment from the Digital Media Studio you must:

  • Be 14 years of age or older (Children and Special Circumstances customers should have their parents or guardians check out equipment for them)
  • Have a library card with full privileges (Community Access and Unverified cards must upgrade their cards to full cards)
  • Have a library card in good standing (owe less than $25, have no unpaid lost items, have no appeals in progress)

These restrictions apply to all equipment. All equipment is to be used in the library for up to three hours at a time. You must remain in the Digital Media Studio while you are using this equipment. You are responsible for any damage or loss to equipment checked out on your card. Please note that any storage media on the device will be erased when it is returned.

Faulty equipment or room concerns must be reported immediately. Card-holders are responsible for returning and restoring all rooms and equipment to their originally checked out conditions.

Equipment and rooms will be inspected for damage upon check-in. Customers may be present during this inspection. Any damages found will be charged to the customer and may up to the full replacement cost for the equipment. Card-holders who have outstanding charges for lost or damaged equipment may be denied Digital Media Studio privileges until the charges are reconciled.

RPL does not assume responsibility for personal items or items checked out to card-holders. Equipment usage privileges may be revoked due to careless handling of library equipment, repeated tardiness in returning library owned equipment, or damage. Please note that unattended library equipment is considered careless handling.
